Office Manager and Executive Assistant to CEO

Must have proficiency in Word, Excel, Outlook, ProSeries, Quickbooks Online, keyboarding and 10 key

Must be able to positively and proactively manage multiple tasks under tight deadlines and thrive in a fast-paced, dynamic environment

RESPONSIBILITIES
Responsible for all Office Management functions including:
Order supplies, communicate with vendors and maintain office organization
Open and distribute mail, send packages and documents
Deal with challenging client calls
Maintain business licenses for all entities
Open tax prep wallets and jobs
Download, scan and save all documents relating to tax prep
Review Tax Department packages to make sure everything is included before they are submitted to the client and the IRS
Prepare Tax documents for clients
Get tax prep signatures
Communicate with the City of DeLand or Volusia County as required
Organize special events, holiday cards, birthdays, client condolences, etc.
Maintain client records such as name., address, phone, email, etc. in all programs
Responsible for collection of all accounts receivable
Receive CEOs calls and determine if she should speak with the caller
Monitor and handle CEOs email on a daily basis
Property management for PPC including:
Negotiations
preparing leases
Answering legal questions and issues as they arise with tenants
Scheduling maintenance
Making sure work is properly done by contractors
Work with the Fix-It Accounting team supporting each other
Perform special work assignments as determine by the C.E.O.
